How do you divide overtime athletic events fairly among your drivers? We are having issues over rotation, when an event that was already scheduled for a driver cancels. Is it fair to bump that driver to the next event forcing you to move all the other driver events ahead or keep the same rotation going until it becomes that driver's turn once again?

Our rotation is renewed weekly. If there is a cancelation, that driver is moved to the top of the list for the following week for a "free pick." This free pick IS subject to overtime restrictions. Drivers are on the honor system in regards to picking a trip that is similar in time to the one cancelled. However, there are a few that try to work the system to their advantage.

If a driver's trip is cancelled, we don't do a bump down of existing trips but schedule that driver on the very next available OT charter. If he/she doesn't accept that one, they forfeit and go back into rotation. No problems with this several year old system.

Hey BusBoss, That program sounds very fair to me and I think that's the way to go without a lot of paperwork shuffling. However, your handle sounds very familiar...Thanks

Our trip policy reads as follows:
1) Trip meetings will be held the last Wednesday of each month. 2) Trips will be issued according to the seniority list. 3) Drivers must be present during trip meetings to receive trips. Only under certain situations the supervisor may grant exceptions with one day prior notice when able. Driver must provide a prioritized list of trips preferred. 4) Non issued trips remaining at the end of the trip meeting will be assigned to drivers by the descretion of the supervisor. 5) The supervisor will canvass drivers beginning with the driver left off at the last trip meeting to fill any trip that comes up after the trip meeting of that month and prior to the next meeting. A trip refused will count as a trip taken. 6) A driver who is unable to fulfill a trip obligation must find a replacement driver. One day notice shall be given to the supervisor when possible with a reason for which the commitment can not be kept. A habit of failed commitment will result in suspension of trip privileges. 7) Drivers must drive their own designated bus on trips unless authorized by the supervisor or mechanic. Drivers are responcible for pre-trip, post trip inspections and must keep the bus properly cleaned and fueled. This pertains to substitute drivers as well. 8)Trip cards must be filled out completely by the driver including start time, end time, milege, bus number, and driver name. 9) Unauthorized passengers are prohibited on trips.
Hope this is some help to you. Kevin

Many years ago I worked for a bus company that used the senority list system. The way it worked is the field trips/sports buses/outside charters were posted on the board and the drivers signed up for the ones they wanted. At the time, again this was many years ago, the pay rate was a different rate than route pay. Get it! No overtime. So the top say 10 senior drivers who signed up for extra work could pretty much have it all if they wanted. And it was not a continuous rotation, it went back to the top of the list. Of course there were allowances made for if the driver could actually handle the f. t. or not with the route he/she had. A driver was seldom taken off of a scheduled mid day to cover a trip, unless it was desparate measures. As a charter dispatcher, I always felt that this was very unfair to the newer drivers who didn't have as much route time as the senior drivers, and they wanted & neede the extra work. They were stuck with the left overs.
So, my feeling about bumping, is no, it should go to the next person in line. Unless there are other circumstances prohibiting. Keep it fair for everyone who wants the extra work.

At the beginning of the new school yr. I ask my drivers for their availability for charter work. This includes runs in between school runs, after hours and weekends.
Based on their replies, I then set up my driver pool based on Seniority and work preference and assign charters and track work on a weekly basis. Try to balance the workload amongst all of the willing drivers including myself in the rotation.
One thing I learned is that you can't always satisfy everyone. Our company goes on the basis that all drivers are available on a 24/7 basis unless told otherwise. Also from time to time the Manager pre-assigns certain charters (w/standby time) to the "dependable drivers" which always opens up a can of worms for me to resolve.

Same thing as Sherm's district. If we have a trip cancelled on a driver, that driver is put at the top of the list.
